What is Hilti ON!TRACK

Hilti ON!Track is a cloud-based asset management system that helps AULDEC Solutions, track and manage our tools, equipment, and other assets. It uses a combination of rugged asset tags, cloud-based software, and mobile apps to provide real-time visibility of assets, helping to reduce downtime, improve efficiency, and ensure compliance.

 

What is Important to know

The system is only as good as data that is inputted into it! If you don’t utilise this tool it will not benefit you so; AULDEC has specific procedures for this software on how it is operated and used, its important for all users to respect these procedures and do not deviate from them, if a procedure cannot be found within this section please reach out [email protected] to request further instructions.

 

Who to contact for Support

If you require assistance with the software you can reach out to Hilti by the following two options:

  1. Via Web browser logging into your account and clicking on your Avatar in the top left hand side of your web browser and selecting [Contact, Support & Information].
  2. Via your Phone or Tablet APP by click the [?] in the top left hand corner where there are support articles on how to complete actions; or at the bottom of that screen click [Contact Us].

If Hilti are unable to support you with the software and maybe due to company permission settings or procedures, please contact [email protected] and the team will submit your item to the best team member to assist you.

The above list of items are examples of asset types and categories, if unsure of category of your asset please reach out to the Asset Manager who will assist with the correct selection.

How to add new Items

There are multiple types of assets & commodities that are to be loaded into Hilti to track our current items. This ranges from Trucks to PPE to ensure that the team have the assets and materials available to them when they need it. The following steps are details on how to add each item to ensure that consistence is used for all assets.

Important Note! Do not added any photos of items through the APP or software, this shall be done by the Asset Manger to ensure consistence of the software data base.

ADDING NEW ASSETS & QUANTITY ITEMS VIA WEB
  1. Identify Type of Asset (Asset or Unit Quantity) *refer to asset type tab

URGNET NOTE!: If this asset is a container or freight box. ‘STOP!’ contact the Asset Manager to create this containment to continue before adding assets into this storage device.

ADDING ASSET
  1. Log into Hilti ON!Track and Select [Assets] in top bar
  2. Select [+ Add] in the bar above the assets list
  3. Add QR Code attached to the [Scan Code*] field {### ### ###}
  4. Ignore [Inventory Number*]
  5. Add Asset [Serial Number] if applicable
  6. Search & Select [Manufacturer] if not available Check Spelling and Spaces; if still not found Type Manufacture and select [create]
  7. Search & Select [Model] if not available Check Spelling and Spaces; if still not found Type Model and select [create]
  8. Insert [Name] this is a short description i.e. {18v Milwaukee Battery Drill}
  9. Do not attached any images. Note this pulls from company data base and is managed by the Asset Manager.
  10. Status is to be left as [Operational]
  11. Asset Group is automatically selected if existing Manufacture & Model. Note it is important to select the correct asset group if creating a “New” Manufacture and Model, please reach out to your Asset Manager if unsure.
  12. Description filed is not applicable, unless the creator requires to add something.
  13. Label Field is Not Applicable
  14. Asset Type, Select the correct Assets Type Unique Asset; Container/Kit; Van/Vehicle; Heavy Equipment; (Refer to the Asset Type tab attached if required.)
  15. Asset Condition AUC State [Active] & AUC Date [Todays Date]
  16. Click [Next] in the bottom left corner
  17. Home [Default Location]; This shall be the Default Location of this asset this should never be a project it should be a Location as a Company Office Location or Storage Asset such as Container of Freight Box, or in some circumstances when the Company is tracking an employees asset such as calibrated multi-meters or torque wrenches it will then be directly applied to an employee.
  18. Assign to [Current Location]; This is the place your are adding this asset, either at the office or at site, it is the “CURRENT” location of this Asset.
  19. Employee Details, Do Not Touch. It shall be automatically filled based on the systems pre-set locations.
  20. Ownership. If at the time of adding this asset and all information is available fill in all data, this will allow the company to follow warranty claims or track previous costs of equipment within Hilti ON!Track.
  21. Services. If selected an existing manufacture and model the company data base will automatically assign services and calibrations. If a new Manufacture and Model has been selected, ensure you reach out to your Asset Manager to ensure the selected Services are correct for this asset. IMPORTANT Note: Failure do so may lead to using un-calibrated equipment or unregistered vehicles etc.
  22. Notes is used only if applicable i.e. adding notes about the size and weight of a freight box.
  23. Select [Complete]
  24. Hilti ON!Track allows you continue to add similar assets on this screen or move back to the asset list.

IMORTANT NOTES!

  • Don’t Add Photos
  • STOP if this is a storage asset as this must be complete by the Asset Manager in the data section of the software.
  • Ensure Correct Default Location and Current Locations are selected.
QUANTITY ITEMS

There are two process either Adding a Quantity Item or Allocating a Quantity Item

  • Adding – If you are Adding a new Item it is because it cannot be found with the Company’s Current Stocklist within the Quantity Items and you are creating a new data of any item to track its stock levels.
  • Allocating – If you are Allocating it is because you have brought new stock or a replacement part and require to amendment or update the current stock levels.

 

IMPORTANT NOTE: If you have not been shown how to manage stock levels within Hilti On!Track it is recommended that you contact the Asset Manager he will show the overall operations and features of this to ensure understanding as this Quantity Items is system is complex for new people to the software.

 

Adding Quantity Item
  1. Do Not Proceed! Contact the Asset Manager to set up and allocate the quantity item on initial setup.

 

Allocating Quantity Items
  1. Log into Hilti ON!Track and Select [Quantity Items] in top bar
  2. Search and find the required stock that requires adjusting or allocating to another location or item.
  3. Select below the stock item [# Allocation]
  4. Within this screen selection you can complete the following tasks:
    1. New by clicking [+ Add]
      1. Allocation Type, select the [Location] for the new allocation of this quantity item, this could be a tooling container, freight box or warehouse/office.
      2. Insert the [Stock Quantity (pc)], this is the quantity of stock you have on hand; i.e. 10 x Safety Glasses
      3. Insert the [Stock Min], this is the minimum amount a stock that should be available; i.e. 3 x Safety Glasses
      4. Insert the [Stock max], this is the maximum amount that should be in stock (if applicable)
      5. Notification [Stock Alerts], it is important that consumables the require notification that this is selected, i.e. if the stock min is 3 the “responsible person” within the location selected will be notified.
    2. Edit Existing Item click [edit]
      1. Allows stock minimum and stock maximum fields to be adjusted
      2. Allows stock alerts to be selected or deselected.
    3. Transfer Item [transfer] or [quick transfer]
      1. Most cases users will select [quick transfer] if need to move stock from one item to another
        1. Select the [Location]
        2. Insert Allocation Quantity i.e. [2]
        3. Select [Transfer Now]
          1. Note: If the Quantity Item is set up for stock default of “consumed for transfers” it will then assume the stock has been used and it will then update stock levels for this transfer, i.e. There was 10 x Safety Glasses and within this your transferred 2x Safety Glasses , stock levels shall now show 8 x Safety Glasses are in stock, but items that are not marked as “consumed for transfer” are able to be moved in a transfer with out adjust stock levels, i.e. Crimping Die transferred it shows its default location but identifies it has been transferred to its current location and requires to be returned to us default location. This is set up by the Asset Manager on created of this stock type. If this is not transferring as intended reach our the Asset Manager to review its settings.
